Mobile Anesthesia Care (MAC), a division of Anesthesia Associates of Kansas City (AAKC), seeks a full-time Registration and Scheduling Coordinator to join our growing, office-based anesthesia practice. The coordinator works within a team environment to provide exceptional pre-operative information to patients and families and to coordinate scheduling efforts with multiple surgical offices as well as registers and collects incoming patient referrals.
Responsibilities – Scheduling/Administrative
- Registers all incoming referrals, noting demographics, identifying need, and ensuring timely and accurate input.
- Updates and manages all daily clinical schedules/patient appointments for each assigned client/facility.
- Coordinates and maintains surgery schedules with client site office coordinators (informing surgical offices of appointment cancellations, reschedules, add-on appointments or changes, or
inability to reach patient/family, facilitating communication to surgical sites of final patient
schedule, partnering with sites to resolve problems, etc.). - Ensures insurance information has been received, authorized and pre-payment established, partnering with patient account specialists, verifying information/record is complete, assisting
with the collection of medical necessity letters or additional information, etc. - Ensures patient appointments are prioritized and scheduled in accordance with established protocols [age, developmental needs, or special requests received from surgical sites.
- Collects and processes payments received from parents/guardians.
- Answers phone calls and returns messages to patients and surgical sites (may require the use of interpreter services).
- Assists the Office Supervisor in development and implementation of new pre/post-operative processes and guidelines.
Responsibilities – Patient Pre/Post Op Surgical Preparation
- Answers patient/family anesthesia process questions and eases pre-operative concerns.
- Communicates/coordinates identified special patient needs, testing, or assessment findings to
clinical team (e.g., COVID tests, lab draw requests, interpreter needs, patient allergies, phone consent, state custody). - Performs and documents post-operative phone calls and communicates with MAC clinical team on further follow-up needs.
- Prepares electronic chart/patient documentation for next day’s clinical team.
Qualifications:
- Exposure to or general knowledge of office protocols desired. Scheduling experience in a clinical office, preferred. Experience in anesthesia/surgery scheduling, a plus.
- Excellent communication (oral/written) skills essential.
- Must be highly motivated, a self-starter, self-disciplined, and organized.
- Must have outstanding interpersonal skills and project confidence in dealing with all constituents.
- Demonstrated ability to always be diplomatic, while exercising good judgment and discretion as appropriate.
- Ability to always maintain the highest level of confidentiality.
- Resourceful, analytical, and skilled at problem solving.
- Demonstrated or proven ability to set priorities and attain deadlines, while balancing multiple concurrent assignments/projects and performing assignments accurately.
- Must be detail-oriented, sustain a high level of energy, demonstrate flexibility, and be able to shift priorities as demands dictate.
- Ability to work independently, while ensuring accurate and timely completion of required assignments.
- Good aptitude and confidence in using various forms of computer applications (e.g., web-based).
